SWGC Event
Any booking request for 12 or more players is regarded as an event and will be subject to all of the following costs and requirements.
Any booking request for less than 12 players is regarded as a private booking, not an event, and should be requested and agreed by email with the venue here.
What You Get

Larger Events (50+ Players)
- Free access from 3pm for your players to The Battlefields on the Friday before the event.*
- Access to a PA System and large screen displays.
- The ability to live stream your event with commentary.
All of the above options are only available if specifically requested in advance by an event organiser and if confirmed as part of the booking confirmation process.
* NOTE: Players must still purchase a Wargame ticket by selecting the free 'Weekend Event Attendee (From 3pm)' Ticket option. The game being played must be the same as the event the player is attending. Players that do not book online for this option will have to purchase a casual wargame ticket at the venue which may not be available if the venue is sold out.
Event Cost
Unless different terms are specifically agreed with the venue the cost for a tabletop wargame event in The South Wales Gaming Centre, including food, is:
- One Day Event: £15
- Two Day Event: £28
For non tabletop games the cost to hire the venue is on application.
Possible Additional Costs
Any additional costs, if incurred, will be automatically added to the cost of the event - unless different terms are specifically agreed with The South Wales Gaming Centre beforehand. All possible additional costs are by agreement with the venue and will be confirmed as part of the booking confirmation process.
- Painting Workshops: £25 surcharge.
- Events were tickets are not sold by the venue: £25 surcharge.
- Events that require venue to set up streaming or commentary area: £25 surcharge.
- Early opening fee (before 9am Saturday/Sunday): £15 per hour or part of.
- Late opening fee (after 8pm Saturday, 6pm Sunday): £30 per hour or part of.
- Set up Surcharge fee ( if the event requires setting up after close or before opening): £15 per hour or part of.
Payment
Full payment for an event is required on or before the first day of the event - unless different terms are specifically agreed with the venue.
Attendance Confirmation
The number of players attending an event in The South Wales Gaming Centre must be confirmed no later than two weeks before the date of the event by email here.
Booking
Note: This form is only if you want to book an event in The South Wales Gaming Centre venue. If you want to come and play in The Arena or The Battlefields you need to purchase a ticket here.
If you want to book an event in one of the other Firestorm Games venues that is by direct application to the relevant venue. Contact details for the other venues can be found here.
This form is not a booking confirmation, it is only a booking request. No booking is confirmed until specifically agreed with the venue. Please note occasionally even confirmed booking dates may have to change subject to future venue requirements but this will be done only as a last resort.
Catering
ALL events AUTOMATICALLY have food from our on-site cafe facility booked as part of the event - unless different terms are specifically agreed with the venue.
The event lunch menu provides a discounted rate for meals and ensures the cafe is prepared and ready to service your event lunch.
Food is booked for all players and event staff in attendance at the event and will be confirmed as part of the booking confirmation process.
The required lunch time for each event day must be indicated on the booking request form and will be confirmed as part of the booking confirmation process. If you do not tell us when you want lunch we will assume 12.30 as the start time for lunch service on each day it is required.
Menu Options
The event lunch menu always has at least three hot food options available, one of which is always vegetarian and usually vegan.
Any dietary requirements i.e. food allergies, or any specific dietary requests, must be confirmed to The South Wales Gaming Centre no later than two weeks before the date of the event here.

Breakfast Option
A breakfast option, by direct purchase from the cafe, can be made available for events with more than 24 players attending if requested as a comment on the booking request form with the required time indicated and will be confirmed as part of the booking confirmation process.
Data Privacy
We require all Tournament Organisers to implicitly agree to treat all personal information relevant to an event they are running in any venue as confidential and to comply with all current Data Protection, GDPR and consumer legislation when running an event in any venue.
